Timeline SOSF Keystone Grants (multi year projects)

The chart below outlines important deadlines and deliverables for project leaders during the duration of their project (one, two or three years depending on the projects). Please also follow all instructions detailed in the SOSF agreement or sent by email. If you have any questions, have a look at who to contact for what.

Your portrait image

by February 1st

2+ high resolution portrait photos of you, from which our illustrator can draw a sketch. These should be photos that you like of yourself –  ideally without sunglasses or a hat, in which your face is clearly visible. This sketch will be visible on the SOSF website.

Agreement signed

by March 15th

Please follow the instructions received by email. No funds will be transferred if the agreement is not received by this deadline.

Blogs with images/videos

Once your project leader profile and project pages are online

We expect three high quality ‘project blogs’ during the calendar year. Whenever you have a good story, an interesting photo/video or an interesting social media post, please share it with us so that we can share it on your SOSF webpage and SOSF social media. Please read the blogging guidelines.

These ‘blogs’ will act as project updates, and we encourage the use of various media to engage the reader with your project (videos/photos/audio) that won’t be used for any other purposes without your approval. The Foundation’s communication team may assist you with you contribution upon your request.

Media opportunities

At all times

Please let us know about any potential media coverage of your project and remember to mention the Save Our Seas Foundation in your interviews.

Publications, etc..

At all times

Please don’t forget to acknowledge SOSF in your scientific publications and presentations. If you know your paper is going to be published please let us know in advance so that we can prepare the right content to promote it (press release, web news, social media etc.). Even if you are unable to let us know in advance, please always send us your publications so that we can keep them on record and add them to our website. You can also apply for open access support here.

Budget Reallocation Request

At all times

At any time during your project, if a major budget reallocation is necessary in order to not compromise the progress of your work, please send us a request for budget reallocation using the “Budget Reallocation Request form“.

No Cost Extension

At all times

At any time during your project, if a major event occurs and significantly compromises the progress of your work and makes you doubt the possibility of finishing your project in the time allowed, please send us a request for no cost extension using the “No-Cost Extension Request form”.

Your continuation application for next year, if applicable

October

If your project duration is more than 1 year, you will be invited to submit a continuation application for the next year, summarising the progresses made in the first months and what still needs to be done.

Guidelines for SOSF support for Open Access Publishing (OAP)

When ready to submit your manuscript to a scientific journal

SOSF may provide support of up to USD $3,000 in Open Access Publishing fees for selected SOSF funded research projects. This support will be assessed on a case-by-case basis according to the following guidelines: saveourseas.com/oap/

To apply for OAP support, please send a letter that addresses the guidelines listed in the above link and send it to our Grant Programme Manager. Letters may be submitted at any time.

Contract images

by January 31st (year 2)

20 to 40 high-resolution photos (original files) showcasing and representing your project, your fieldwork/labwork, your team, your species, etc… The better these images are, the better we can promote your work and profile! Each photograph should be accompanied by a small description/caption.

Please label them clearly, as shown here: project number – project leader name – year of grant – country – copyright/credit info. Please send them to Sandrine using wetransfer.com or upload them to our media library by clicking here. If your preference is to use the media library, please take the time to read the guideline to make sure your upload will work (there are a few tricks and if you don’t use the ‘caption’ section we won’t see your images).

Year 2

Continuation grant approved (following year)

Your final project report

by June 1st

Please use the SOSF template. The report (>2500 words) should include a financial account summary accounting for the use of the funds provided and any media documents (scientific papers, posters, article, videos, web links…) related to your project so that we can include these in our database.

If the project is part of a PhD, Master or Bachelor thesis, an electronic copy of the submitted manuscript within 30 days of completion of the thesis.
